About the Opportunity

Our 10-person Conferences and Events team is looking for a senior planner to share in our passion for creating signature events. Responsibilities

  • Conceptualizing, designing, and executing creative and engaging conferences and events—often occurring simultaneously—ensuring that each project plan is on track and that deadlines are met
  • Independently managing vendor relationships and program/evening event development
  • Ensuring that each conference and event reflects the client’s goals and exceeds his or her expectations
  • Coordinating all aspects of conference logistics, including travel manifests, budget, hotel details, and agenda formation
  • Selecting venues, décor, restaurants, activities, and entertainers that are in line with the Commonwealth brand
  • Identifying, sourcing, and coordinating support services for events (gifts, photographer, audiovisual, transportation, etc.)
  • Maintaining and strengthening external client relationships to ensure trust and satisfaction with the stated expectations and goals
  • Overseeing the technology and operational processes for conferences and events; making recommendations for improvements
  • Serving as a liaison between the Conferences and Events team and Design for all assigned conferences and events; overseeing the creation and production of program marketing materials; ensuring that all deadlines are met
  • Mastering our internal conference software, Cvent
  • Maintaining an area of expertise and continually educating the team with updates and trends; actively assisting all programs using this expertise
  • Coaching teammates and contributing to the development of the more junior team members

Qualifications

  • Strong project management skills with at least 8 to 10 years of experience planning and executing events; significant exposure to incentives, food and beverage, entertainment, design/copywriting, budgeting, and project management
  • Enthusiastic, energetic, and personable demeanor; must have a great attitude and be customer focused
  • Able to make prompt and educated decisions in line with the Commonwealth conference brand
  • Creative and innovative; a self-starter who generates ideas
  • Able to remain calm and lead under pressure; strong organizational skills and attention to detail
  • Strong follow-up and time management skills; able to juggle a variety of duties
  • A positive and adaptable approach to problem solving
  • Demonstrated negotiation skills
  • A team player; respectful of other people’s time
  • A high level of proficiency with Microsoft Word, Excel, Outlook, and online research preferred
  • Ability to travel up to 35 percent of your time
  • Meeting management certification (CMP or CMM) required; financial services industry experience a plus
