  • Overview

    We are searching for a driven, creative administrative manager to oversee the development of a virtual administrative program and, ultimately, lead its day-to-day operations and outcomes. You’ll start by defining the scope of this brand-new service arm of our Operations division. Then, in conjunction with senior leadership, you will finalize the scope of the program and its goals, define what a successful outcome looks like, and implement this vision.


    On an ongoing basis, you will hire, train, and evaluate administrative team members. You will also be responsible for ongoing refinement of the program, working to improve policies, tracking, incentivization, training, systems, and procedures—ensuring a smooth and efficient operation.


    This is a unique opportunity to develop and own a new function and a growing program within the bounds of a larger corporate infrastructure. The right person for this position will set clear goals and aspirations for the program, attract and retain top talent, and surprise and delight our network of 1,900+ advisors through excellent service delivery and outcomes.


    Key responsibilities

    • Set-up and launch of pilot and in-market program:
      • Defining the form and function of an (initially) 3–6 person administrative team
      • Developing the group’s activity list, billing process, and other structural needs
      • Leading the development of appropriate workflows and infrastructure to ensure successful completion of identified tasks and activities
      • Working with our network of advisors to understand their needs, intake feedback, and refine processes to ensure success
      • Working with our Service Center and the broader operations group to define joint ways of working
    • Ongoing management:
      • Supervising day-to-day operations of the administrative team
      • Hiring, training, managing, and evaluating employees on an ongoing basis
      • Ensuring successful outcomes for defined tasks and activities
      • Maintaining high levels of advisor satisfaction and working with advisors to identify and refine needs over time
      • Consistently reviewing the onboarding and training programs, as well as services offered, to see where we can further develop our program offerings and excel
      • Working with adjunct departments (such as the Service Center) to ensure seamless points of interconnectivity, cross-training, and outcome delivery


    Core strengths

    • Bachelor’s degree or higher
    • 8+ years of work experience in business administration or management in a fast-paced environment
    • Ability to keep track of multiple projects and deadlines and deliver on or ahead of schedule and budget
    • Personable and friendly; enjoys working with people on a daily basis and frequently interacting with others
    • Ability to work with and manage a team of administrative assistants, either in-person or remotely (or some combination therein)
    • Ability to work independently and collaboratively
    • Ability to consolidate multiple points of input into clear deliverables and outcomes
    • Professional presence when working with senior leadership and our network of advisors
    • Ability to work with abstraction and define a direction or trajectory for a nascent team
    • Ability to adapt to multiple priorities, meet deadlines, and effectively execute in a fast-paced environment
    • Excellent communication and organizational skills, with strong attention to detail
    • Comfortabe interacting and communicating with all levels of the organization
    • Strong proficiency in Microsoft Excel, Word, and Outlook
