    Office Services is a team of nine employees that work together to provide indispensable customer service throughout the organization. As a supervisor, you will work hands-on to help keep countless aspects of our workplace running smoothly. This is a highly visible role that requires excellent interpersonal skills and flexibility. Working on the front lines, you will be managing multiple tasks that involve working with vendors and employees at all levels. A professional demeanor is a must.


    Key responsibilities

    • Overseeing reception and mailroom activities, including receipt, sorting, and distribution of incoming mail; preparing outgoing mail and express services; receiving dock shipments
    • Supporting facility maintenance needs
    • Consulting with internal customers on printing, mailing, or fulfillment projects handled on-site or contracted to an outside vendor
    • Training, and motivating office services and reception staff, and delivering performance feedback
    • Assuming a lead role in the manager’s absence
    • Coordinating services with our San Diego office
    • Maintaining and tracking supplies inventory
    • Maintaining department record
    • Assisting in planning and facilitating several annual and special employee functions
    • Responding to complex problems and/or escalated issues
    • Demonstrating solid capability in all aspects of Office Services
    • Recommending process improvements
    • Maintaining office and storage area cleanliness and organization
    • Providing back-up coverage of reception desk as needed (greeting visitors and answering phones)

    Additional skills and knowledge

    • 3 or more years of leadership experience in a combined office services and facilities environment, including reception
    • Proficient with Microsoft Office applications; SharePoint a plus
    • Knowledge of current postal and UPS regulations preferred
    • Knowledge of Pitney Bowes Connect+ 2000DM and DI900 Inserter (or competitive mailing equipment) helpful
    • Ability to bend, reach, climb, carry, and pull/push daily
    • Ability to regularly lift up to 20 pounds
    • Ability to lift up to 50 pounds as needed
    • A valid driver’s license in good standing

    Please note: This is a full-time position, working 8:30 a.m. to 5:30 p.m., Monday through Friday.
